Creating and Viewing Notebooks

eHRAF Notebooks allow you to save paragraph results from your search to custom folders for future reference. You can organize, annotate and label your clippings, as well as move them between folders. You can also share notebooks to collaborate with other users.

By default, new user accounts will have one Notebook named My Selections with no contents. You can change the name of this Notebook at any time as well as create new notebooks.

Note

In order to use Notebooks, you will need to create a free eHRAF account and to be signed in. Note that this is separate from accessing eHRAF through a university or college library with your university-issued credentials. For more details, view our FAQ.

Creating Notebooks

There are three ways to create a new Notebook: from the Show All Notebooks page, the paragraph search results pages, and any full context page.

Create on Show All Notebooks Page

The simplest way to create a Notebook is on the Show All Notebooks page. You can visit this page by clicking on the menu hamburger button in the top left and then clicking Show All Notebooks. On this page, click the Create Notebook button on the top right. A small window will then appear where you can write a name for your new Notebook up to 150 characters long. Write a name and click Create to save the Notebook.

Create on Paragraph Search Results Pages

To create a Notebook on a paragraph search results page, first select one or more paragraphs by clicking on the left colored circle for a paragraph if you are on List or Card view. These circles do not appear on Hierarchy view; instead you can click checkboxes to select your paragraphs. Once you have one or more paragraphs selected, an playlist_add Add to Notebook icon will appear at the top. Click that icon, and a small box will appear with a list of your existing Notebooks that you may add the selected paragraph(s) to, along with a add Create Notebook button at the bottom of the box. Click that button, and a text input will appear where you can write a name for your new Notebook up to 150 characters long. Write a name and click Create to save the Notebook. Your new Notebook will now appear in the list of Notebooks.

Caution

If you create a Notebook on a paragraph search results page while having paragraphs selected, your selected paragraph(s) are not automatically added to the new Notebook you created. After creating a Notebook, you will need to click its name in the list of Notebooks in order to add the selected paragraph(s) to the Notebook.

Create in Full Context Page

When viewing a page in full context, each individual paragraph has an playlist_add Add to Notebook icon to the left. Click that icon, and a small box will appear with a list of your existing Notebooks that you may add the paragraph to, along with a add Create Notebook button at the bottom of the box. Click that button, and a text input will appear where you can write a name for your new Notebook up to 150 characters long. Write a name and click Create to save the Notebook. Your new Notebook will now appear in the list of Notebooks.

Caution

If you create a Notebook while viewing a document, the selected paragraph is not automatically added to the new Notebook you created. After creating a Notebook, you will need to click its name in the list of Notebooks in order to add the selected paragraph to the Notebook.

Viewing Notebooks

View All Notebooks

You can easily view the three newest Notebooks you created on any page of the application by opening the left sidebar by clicking the menu hamburger button in the top left. The three most recent Notebooks are listed under the Notebooks heading. Click content_copy Show All Notebooks to see a list of all Notebooks.

The Show All Notebooks page lists all Notebooks in a table with the following information:

  • Notebook Title: the name of the Notebook

  • Role: will say Owner if you created the Notebook, Collaborative if someone shared the Notebook with you and you can modify it, and Read Only if someone shared the Notebook with you and you can only view it

  • Creation Date: the date the Notebook was created

  • Last Accessed: the date you or another user last viewed the Notebook. Will state n/a if the Notebook has not been viewed yet.

  • Invited by: the person who shared the Notebook with you, if you did not create the Notebook yourself. Will state n/a if you created it.

  • Paragraphs: the number of paragraphs in the Notebook

If you hover your cursor over a column name at the top of the table, a down arrow will appear that you can click to sort the list of Notebooks by that value.

If you hover your cursor over the name of a Notebook, four icons appear:

  • edit Rename Notebook allows you to change the name of the Notebook with a text field. Type Accept to change the name or Cancel to cancel changing the name.

  • content_copy Copy Link will put the URL of the Notebook page in your clipboard. You can then paste the URL into any place that can store text, such as an email, a Word document, or a spreadsheet.

  • open_in_new Open in New Window will open the Notebook page in a new browser tab.

  • share Share Notebook will open a window to share the Notebook with other eHRAF users using their email address. For more details on this, see Share and Export Notebooks. You can click outside the window to close it without sharing the Notebook.

Click on a Notebook name to view all of the paragraphs in the Notebook.

View Paragraphs in a Notebook

You can view all paragraphs saved to a Notebook by clicking on a Notebook name in the left sidebar or by clicking the Notebook name in the list of all Notebooks.

The list of paragraphs in a Notebook functions the same as a paragraph search result. For details on all of the different functionality for a paragraph search result, see Search Results.

The only addition when browsing through the contents of a Notebook is a banner at the top of the page. On the left, it lists the name of the Notebook, the number of “entries” (in other words, paragraphs) in the Notebook, the number of documents covered by the Notebook, and the number of traditions covered by the Notebook. On the right is an edit Edit button to rename the Notebook and a share Share button. Clicking this will open a window to share the Notebook with other eHRAF users using their email address.
